Greenback for accounting firms

Every client's books. One practice.

Greenback Business for CPAs and accountants. Work every client's books from one login, see who is behind because their books say so, run the month-end close across every client, and track work, time and billing in the same place. Bring clients over from QuickBooks and Xero with a migration board built for it.

The live sample is a real Greenback practice with six client books. Nothing you change is saved.

Clients

What needs doing, by entity.

Every client in one list, with what is waiting in their books right now: transactions to review, accounts to reconcile, and how far the books are closed. Nothing is based on the calendar. A client is behind because its books say so.

  • Companies, individuals, and trusts and estates
  • To review, to reconcile and closed-through for every client
  • Clients without books too: 1040, tax-only or payroll-only
  • Invite clients to set up their books, with billing either way

Close

Month-end close, across every client.

The close board reads each client's books and shows exactly what is still open for the month: uncategorised transactions, unreconciled accounts, unhealthy bank feeds, an unlocked period, old receivables, unposted depreciation and unanswered client questions.

  • One close checklist per client, per month
  • Read live from the books, not ticked by hand
  • Categorisation, reconciliation, feeds, payouts, aging, depreciation
  • Period lock and a close packet when each client is done

Work

Every engagement, step by step.

Track monthly bookkeeping, advisory, year-end, tax returns, compliance, onboarding and payroll work for every client. Templates and recurring work set up the steps, due dates and preparer, and the budget shows how much of each job is used.

  • Work types from monthly bookkeeping to tax returns
  • Templates and recurring work, with steps and due dates
  • Preparer assigned, and My week for each person
  • Budget used and percent of the work done

Time & capacity

Who is busy, and with what.

Log time against the work in a weekly timesheet. Utilisation shows billable time against what each person logged and against the hours they actually had. Capacity puts your estimated hours next to what is waiting in clients' books right now.

  • Weekly timesheet by work and client
  • Utilisation: of what was logged, and of the hours available
  • Capacity by person for the weeks ahead
  • Live counts of what is waiting in every client's books

Client billing

Bill the work. Know what is unbilled.

Set billing arrangements for each client, see work in progress and realization, and send engagement letters. An arrangement bills nothing until its engagement letter is signed, and practice invoices are ordinary invoices on your own books.

  • Recurring billing arrangements per client
  • Unbilled work in progress, by value and time
  • Realization on what you billed
  • Engagement letters: drafts, sent and overdue

Requests & messages

Stop chasing clients by email.

Send clients a request with the exact items you need and see when it was opened and how much is answered. Messages keep every conversation with a client in one thread, with how long each has been waiting on you.

  • Requests with items, answered counts and opened status
  • Client messages, with waiting time
  • Clients answer inside their own Greenback books
  • Everything kept against the client, not an inbox

Most firms run QuickBooks Online Accountant or Xero for client books, and pay for Karbon or TaxDome on top to run the practice. Greenback puts the practice and every client's books in one platform, so the close board reads the books instead of a checklist someone ticked.

FAQ

Questions, answered.

Something else? Visit Help.

Do my clients need their own Greenback subscription?

You choose. When you invite a client, you can be billed for their books and bill them yourself, or they can pay on their own.

Can I manage clients I don't keep books for?

Yes. Add 1040, tax-only and payroll-only clients without books, and track their work, time and billing alongside everyone else.

How do I move clients off QuickBooks or Xero?

Use the migration board: import a client's books from QuickBooks Online or Xero, review the opening balances, and sign off when the trial balance ties at cutover.

How does the close board know a client is behind?

It reads each client's books: uncategorised transactions, unreconciled accounts, bank feed health, period locks, old receivables and payables, depreciation and unanswered questions. Nobody ticks a box.

Can my team see only their own clients?

Yes. Staff and teams control who can reach which clients, and My week shows each person the steps assigned to them.

How is Greenback priced for firms?

Free for accountants. Each client's books follow the Greenback Business subscription ($20 a month plus their industry module), plus $1 a month per client, and every client gets a Greenback Personal finance subscription included.
